Imaging Specialist I

Job Summary: The Imaging Specialist I is responsible for digitizing a range of paper documents for multiple departments and storing in the appropriate database, paying special attention to the quality and legibility of the digital image while adhering to production standards and deadlines.

Essential Duties & Responsibilities:

Prep, batch, scan, and index incoming physical documents to digital images in a timely manner and in accordance with established policies and procedures

Scan all incoming paper claims from providers to help ensure timely claims payment

Rotate through multiple scanning desks including Accounting and Member Services

Ensure correct storage of digital images in the appropriate database so that others can easily locate as needed

Ensure correct document types are selected for files not auto indexed

Perform quality audits on scanned batches to ensure all information is visible and legible on the digital image

Maintain and balance scanning log on a daily basis

Notify management immediately should document volume make scanning deadlines unattainable

Perform Data Entry audits daily

Maintain scanning equipment to ensure operational efficiencies

Open and sort incoming mail

Assist in distribution of mail as needed

Ensure all outgoing packages are mailed daily

Ensure all mail is sent to the Post Office daily, delivering physically if needed

Ship and receive via UPS and Fedex

Run log reports to ensure postage balance

Consistently meet or exceed productivity, quality, and attendance standards and requirements

Marginal Duties:

Assist with special projects as needed

Other duties as assigned

Job Requirements:

Knowledge, Skills, and Abilities: 

High school diploma or equivalent 

Entry level to 2+ years of mailroom and/or document imaging experience

Ability to work under stress and thrive in a structured, production-driven environment while maintaining focus and accuracy

Ability to navigate through multiple computer programs with ease including but not limited to Microsoft Office Suite (Word, Outlook, Excel, etc.)

Highly organized and efficient with strong attention to detail

Ability to perform simple calculations

Attendance and punctuality are a must

10-key by touch

Minimum typing speed of 40 WPM

Ability to multitask and prioritize in a fast-paced, ever-evolving environment

Excellent verbal and written communication skills

Ability to interact effectively with all levels of staff

Supervisory Responsibilities:

This position has no supervisory responsibilities

Supervision Received: 

Works under general supervision of the Data Entry & Imaging Supervisor

Working Conditions:

This position operates in a professional office environment 

This is a full-time position (40 hours/week)

Overtime required at times pending incoming volume and production deadlines 

Lunch times may be adjusted by the department leadership as needed according to claims volume

Due to the nature of this position, distractions, such as cell phones, must be limited to ensure accuracy and production goals are met

Travel may be required
